Once you set up your recruitment advertisement, made your shortlist of suitable candidates, interviewed them and then decided on who would be best suited to the job vacancy you have available, the next stage of the recruitment advertisement  process is to inform them and formally make the a job offer. This sounds like a very small and easy part of the recruitment advertisement process but there can be a few complications, particularly if the potential new recruit is already in full time employment at another company.

This final part of the recruitment advertisement process is normally made over the telephone. Decide when to call the successful candidate. Bear in mind that if you call them during work hours they may be at work in their current position. If possible call them on their mobile phone for extra privacy or if you do need call their place of work, ensure that you are discreet – it is highly unlikely that their current employers are aware that they are waiting to hear back on a potential new job. When conducting this stage of the recruitment advertisement process, introduce yourself and ensure that you check whether they are ok to talk and that it is convenient for them. Prior to this recruitment advertisement process make sure that you have all of the information at hand before making the call such as agreed salary, benefits, holidays and ideal start date. Inform the successful recruit of all of these and ensure that they are happy with these.

Inform them that you will post a formal offer to them in writing as soon as possible; it is unlikely that they will hand in their notice at their current employers until they have written confirmation from you of the new position and its details.
